Gmail is most popular Email Service. Its superb service from Google. Gmail have some secrets which you want to use the productivity of Gmail Service.

1. Hiding In Plain Sight

1. Select the text you are replying to in Gmail.

2. Hit the reply button.

3. Boom! Only the selected text will be quoted. Reply at will.

I know. This is common in all mail programs, but most people don't know it exists in Gmail too. I discovered it by chance a long time ago, assuming it would work, but today I discovered that most people don't know about it.

 

2. Get Gmail Notifications (Even Per Label) in Your RSS Feed Reader

To get notified of new Gmail messages in your RSS news feed reader:

  • Launch your RSS feed reader.
  • Create a new channel.
  • Type "https://gmail.google.com/gmail/feed/atom" for the URL of the new feed.
  • Enter your Gmail user name ("sammy.sample") when prompted for a user name.
  • Use your Gmail password as the feed's password, too.
    • If that does not work, try using "https://[your Gmail user name]:­[your Gmail password]@gmail.google.com/­gmail/­feed/atom" (like "https://sammy.sample:passphrase@gmail.google.com/­gmail/­feed/­atom") for the URL.

To get notifications for new messages in a Gmail label in your RSS feed reader:

  • Append the label to the "https://gmail.google.com/­gmail/­feed/­atom/" URL (note '/' at the end).
    • For example, a label called "todo" can be tracked using the URL "https://gmail.google.com/­gmail/­feed/­atom/­todo".
  • Add the URL to your RSS feed reader as above.
3. Find Out When a Message Was Sent Exactly in Gmail

To identify a message's exact sending date and time in Gmail:

  • Position the mouse cursor over the relative time or date displayed in Gmail.
  • Wait for the exact date and time to display.

This works for any date in Gmail, in a message list or while viewing a conversation.

4. Go to the Next or Previous Message Quickly in Gmail

To jump to the next or previous message quickly in Gmail:

  • Press j to go to the next (older) message.
  • Press k to go to the previous (newer) message.

If you press K while reading the newest message (or J while reading the oldest message), Gmail will take you back to the view you started from.

5. Attachment Types Supported for Viewing as HTML in Gmail
  • .doc - Microsoft Word documents
  • .xls - Microsoft Excel spread sheets
  • .ppt - Microsoft PowerPoint presentations
  • .sxw - OpenOffice 1 / StarOffice 6/7 documents
  • .sxc - OpenOffice 1 / StarOffice 6/7 spread sheets

  • .zip - Zip-compressed files using the formats above
  • .rar - Rar-compressed files using the formats above

You can send attachments of these types to Gmail users without having to worry about them not being able to open your files.

6. Access Gmail Offline in Your Browser

To read and send emails on line and off in your browser:

  • In Google Chrome:
  • In Safari:
  • Make sure Allow offline mail is selected under Allow offline mail.
  • Click Continue.
7. Access Gmail Offline in Your Browser Using Google Gears

To access Gmail offline in your browser with the help of the Google Gears add-on:

  • Make sure you have Google Gears installed.
    • Google Gears is available for Windows (Internet Explorer and Mozilla Firefox), Mac OS X 10.5 (Safari, Mozilla Firefox, OmniWeb) and Linux (Mozilla Firefox).
  • Follow the Settings link in Gmail.
  • Go to the Offline tab.
  • Make sure Enable Offline Mail for this computer is selected under Offline Mail:.
  • Click Save Changes.
  • Click Next.
  • If an authentication dialog appears:
    • Verify "https://mail.google.com" or "http://mail.google.com" appears as the site's address in the authentication dialog.
    • Make sure I trust this site. Allow it to use Gears. is checked.
    • Click Allow.
  • Optionally click OK to have a link to Gmail appear on your desktop.
    • It's safe to deny this and click Cancel or select Never allow this shortcut, of course.
  • Wait for Gmail to finish initial synchronization.
    • Click the x in the offline status pane to close it.
    • This will not interfere with Gmail downloading mail in the background, and you can continue using Gmail while that happens.
    • You can check synchronization status by hovering the mouse over the offline Gmail icon in the status bar.
Specify How Much Data to Keep Offline

Gmail automatically sets a date range depending on how much mail you have in your account to avoid caching several GB of data. It might synchronize all mail exchanged in the past year, for example, plus mail in labels you frequent.

To choose manually how much recent mail and which labels Gmail offline keeps on your computer:

  • Follow the Settings link in Gmail.
  • Go to the Offline tab.
  • Pick how much back you want to have all mail available offline under Recent message range:(under Download options:).
  • Click Change Label Settings to pick a different timeframe (no offline messages at all or all labeled mail) for individual labels.
  • Choose a maximum file size for attachments to keep offline under Specify maximum attachment size:.
  • Click Save Changes.
On a Shared or Public Computer? Delete the Cache

Gmail offline can be useful even temporarily. If, on the flip side, somebody else temporarily has access to your machine and account, delete Gmail's cached data — temporarily.

 

8. Access GMX Mail in Gmail

o set up POP access to a GMX Mail account in Gmail:

  • Click the gear in your Gmail's top right corner.
  • Follow the Mail settings link.
  • Go to the Accounts and Import tab.
  • Click Add POP3 email account under Check mail using POP3:.
    • Depending on your version of Gmail, this could also be Add a mail account you own under Get mail from other accounts:.
  • Enter your GMX Mail address ("example@gmx.us", for instance) under Email address:.
  • Click Next Step ››.
  • Type your full GMX Mail address (e.g. "example@gmx.us") again under Username:.
  • Enter your GMX Mail password under Password:.
  • Type "pop.gmx.com" (excluding the quotation marks) under POP Server:.
  • Optionally:
    • Check Leave a copy of retrieved message on the server. unless you want all your GMX Mail messages only in Gmail.
    • Make Gmail apply a label automatically to all your GMX Mail messages by checking Label incoming messages:.
    • Prevent GMX Mail messages from appearing in your Gmail Inbox and check Archive incoming messages (Skip the Inbox). You can always find the retrieved emails under the auto-assigned label or All Mail.
  • Click Add Account ››.
  • Make sure Yes, I want to be able to send mail as... is selected.
  • Click Next Step ››.
  • Click Next Step ›› again.
  • Now click Send Verification.
  • Switch to the main Gmail window and go to the Inbox.
  • Open the Gmail Confirmation - Send Mail as... email as soon as it arrives (this may take a couple of minutes).
  • Highlight and copy the confirmation code.
  • Paste the code into the Enter and verify the confirmation code form.
  • Click Verify.

 

9. Access Yahoo! Mail in Gmail

To set up access to your Yahoo! Mail Plus account in Gmail (to receive messages from the account in your Gmail inbox and send messages using your Yahoo! Mail address from Gmail):

  • Make sure you have a current Yahoo! Mail Plus subscription.
  • Click the Settings gear in Gmail.
  • Select Settings from the menu that appears.
  • Go to the Accounts and Import tab.
  • Click Add a POP3 mail account you own (or Add another email address you own) under Check mail from other accounts (using POP3):.
  • Type your Yahoo! Mail address under Email address:.
  • Click Next Step ».
  • Enter your full Yahoo! Mail address under Username:.
  • Type your Yahoo! Mail password under Password.
  • Make sure pop.mail.yahoo.com is selected under POP Server:.
    • Use pop.att.yahoo.com or pop.sbcglobal.yahoo.com for AT&T email.
    • If the desired server does not appear in the drop-down menu:
      • Select Other….
      • Type the server name under POP Server:.
  • Make sure 995 is selected under Port:.
  • Typically, check Leave a copy of retrieved messages on the server..
    • With Leave a copy of retrieved messages on the server. not checked, Gmail will delete messages it has retrieved from your Yahoo! Mail account.
  • Make sure Always use a secure connection (SSL) when retrieving mail. is checked.
  • Optionally, check Label incoming messages: and pick a label to make emails downloaded from Yahoo! Mail easily recognizable and accessible in one place in Gmail.
  • Optionally, check Archive incoming messages (Skip the Inbox) to create archived copies of your new Yahoo! Mail messages without having them interfere with your using Gmail with your Gmail address normally.
  • Click Add Account » (or Add Account if you have already set up Gmail to let you send from the Yahoo! Mail address before; in this case, you're done).
  • Make sure Yes, I want to be able to send mail as ___.is selected under Would you also like to be able to send mail as ___?.
  • Click Next Step ».
  • Enter the name you want to appear in the From: line when you send mail using your Yahoo! Mail address from Gmail under Name:.
  • Typically, make sure Treat as an alias. checked.
    • Having the Yahoo! Mail address treated as an alias means Gmail will view mail from your Yahoo! Mail address as coming from you and mail to your Yahoo! Mail address as sent to you.
      If you send a message from Yahoo! Mail to your Gmail address with Treat as an alias.enabled and reply in Gmail, your Gmail address will appear in the To: field instead of the Yahoo! Mail address; to prevent this, do make sure Treat as an alias. is not checked.
  • If you want replies to messages you send from Gmail using your Yahoo! Mail address to go to an address different from your Yahoo! Mail address:
    • Click Specify a different "reply-to" address.
    • Type the desired address for answers under Reply-to address:.
  • Click Next Step ».
  • Make sure Send through yahoo.com SMTP servers is selected.
  • Enter "smtp.mail.yahoo.com" under SMTP Server:.
  • Make sure 465 is selected under Port:.
  • Enter your Yahoo! Mail address under Username:.
  • Type your Yahoo! Mail password under Password:.
  • Make sure Secured connection using SSL is selected.
  • Click Add Account ».
  • Click Send Verification if you are prompted.
  • Open the email from "Gmail Team " with the subject "Gmail Confirmation - Send Mail as ___" sent to your Yahoo! Mail address.</MAIL-NOREPLY@GOOGLE.COM>
  • Copy the confirmation code.
  • Paste the code under Enter and verify the confirmation code in the Gmail Add another email address you own window.
  • Click Verify.

Note that Gmail access does require a Yahoo! Mail Plus subscription; it does not work with plain Yahoo! Mail accounts.

In addition to fetching new messages, Gmail can also importing existing mail (and address book entries) from your Yahoo! Mail account; this does not require Yahoo! Mail Plus.

As an alternative to having Yahoo! Mail download new mail, you can also set up Yahoo! Mail (with a Yahoo! Mail Plus subscription) to forward to your Gmail address.

 

10. Add a Preview Pane to Gmail

To read messages using a preview pane in Gmail:

  • Make sure Preview Pane is enabled in Gmail Labs (see below).
  • Click the Toggle split pane mode button in your Gmail inbox.
    • The Toggle split pane mode button should be in the toolbar that also includes the Archive, Spam andDelete buttons, for instance.
  • Now select any message in the list to view it in the preview pane.
    You can click on the message or highlight it with the black triangular arrow (use j and k to position it).
Set Up the Gmail Preview Pane for Widescreen or Traditional Layout

To toggle between a vertical split that works nicely with a wide browser window and a horizontal split for the Gmail preview pane that affords more width to the message text:

  • Click the down arrow next to the Toggle split pane mode button in your Gmail inbox.
  • Select
    • Vertical Split from the menu that comes up for a widescreen and
    • Horizontal Split for a traditional layout.
Enable "Preview Pane" in Gmail Labs
  • Click the Settings gear in Gmail.
  • Select Settings from the menu that appears.
  • Go to the Labs category.
  • Type "preview pane" under Search for a lab:.
    • You don't have to finish the words to locate the option.
  • Make sure Enable is selected under Preview Pane.
  • Click Save Changes.
